Job Title:                             Accountant/HR Assistant
Reports to:                          President/CEO
Exemption Status:              Non-Exempt, Full Time 35 hours per week
Salary Range:                    TBD (Based on experience)
 
Summary:
Accounting duties; accounts payable; expense coding for grants/contracts; cash receipts; general ledger duties specific to a preferred non-profit organization. Administrative tasks and services to support effective and efficient operations of the organization’s Finance/Human Resource department.

Accountant Key Responsibilities:

  • Preparation and input of monthly journal entries to record monthly accounting transactions
  • Reconciliation and analysis of monthly credit card purchases by employees
  • Distribution of grants/contracts expenditure check copies and invoices as requested
  • Prepare, code and enter payment requests for weekly AP check batches
  • Distribute and mail weekly AP checks in a timely manner
  • Maintain vendor W-9’s
  • Assist and/or backup for preparation and recording of cash receipts journal entries into accounting system (QuickBooks)
  • Provide audit backup documents as requested
  • Preparation of monthly and periodic financial statements and budgetary comparisons
  • Other duties assigned by the President/CEO
  • Annual budget preparation
 Human Resources Assistant Key Responsibilities:
  • Maintains job openings, job descriptions and recruiting sources
  • Maintains or assists with accurate and up-to-date human resource files, records, and documentation
  • Answers frequently asked questions from applicants and employees relating to standard policies, benefits, hiring processes, etc., refers more complex questions to President/CEO
  • Keeps the integrity and confidentiality of human resources files and records
  • Conduct and assist with new hire orientation
  • Payroll functions, including processing, answering employee questions and fixing processing errors
 
 
 
  • Must assist with planning and execution of special events
  • Performs other duties as assigned by the President/CEO
 Education/Experience:
  • Bachelor’s degree or associate degree in a related field preferred
  • Two – five years accounting experience preferred
  • Experience in Customer Relationship Management – Donation Tracker a plus
  • Two – five years’ experience in QuickBooks desktop a must
  • Two years of human resource or payroll procession experience preferred
 
Skills Required
  • Considerable knowledge of accounting principles and practices
  • Proficient data entry skills
  • Ability to apply general accounting principles in the recording of expenditures and revenues
  • Ability to expedite a voluminous flow of detailed work
  • Ability to make arithmetical calculations with speed and accuracy
  • Visual ability in reading and using a large volume of written and numerical data
  • Proficiency with MS Office products; advanced Excel skills are desirable
  • Ability to establish and maintain effective working relationships with other employees
  • Excellent verbal and written communication skills
  • Proficient with or the ability to quickly learn payroll management, CRM systems and similar computer applications
  • Travel as required
 
Physical Requirements
  • Prolonged periods of sitting at a desk and working on a computer
  • Must be willing to work nights, weekends, and special events
  • Must be able to lift to 15 lbs at times
